Grand Central (GC) is an open-access train operator linking the North East and West Yorkshire with London. We provide the smaller communities on the East Coast Main Line with direct access to London, at affordable prices.
GC may be a small operator in the railway industry, but we have a big impact. Working within this industry can be complex at times but if you are willing to roll up your sleeves, get involved and lend a hand when needed, the experience will be invaluable, and we will be there to support you every step of the way.
We have business locations at Sunderland, Eaglescliffe, Bradford, Wakefield, York, and London. Therefore, travelling on our trains to our locations will be part of the role meaning that on occasion flexibility is required but we are more than accommodating with working hours.
We are part of Arriva’s UK Trains Division where we work closely with Arriva Train Operating Companies. Therefore, this is a perfect opportunity for you to experience how operations work in both a small organisation and a large diverse organisation. This role comes with plenty of opportunities to get involved in project work that will shape the future of Arriva and passenger transport operations.
To provide a support to the Service Delivery Management teams in all aspects of day to day management and organisation of the depots. Providing administrative support and taking responsibility for the facilities management at the local depot offices and signing on points.
Provide general assistance in smooth operation of traincrew depot
Development and implementation of efficient office systems and equipment maintenance
Provision of comprehensive administrative support service to include, creation of documentation, letters and reports as directed by the management team
Raising and managing purchase orders across the operational teams to the agreed levels set out by the finance team
Take notes and actions for meetings as required by the service delivery teams
Building strong relationships with the team
Organise, maintain records and provide parking permits, Cab passes and ID cards to depot traincrew/other areas of the business
Support the Safety and management teams in ensuing that competence files are updated with necessary signatory’s
Issue petty cash and reconcile monthly
Support in projects as required and determined by operational management
Facilitates & Traincrew Support
Manage the local traincrew accommodation and facilities along with ensuring local staff equipment and information requirements are met
Be the first point of contact for anyone attending the depot or SOP
Answer the phone and direct calls as necessary
Organising incoming and outgoing post using the franking machine and managing deliveries
Take receipt of deliveries to the depot or SOP
Issue updates on notice boards
Ensure that meeting rooms are presented to the required standard
Maintenance and management of stock levels for traincrew equipment, stationary, tea, coffee.
Ensure reservations machines are in working order and arrange appropriate support to fix any issues
Arrange appropriate audit checks as required e.g. annual fire extinguisher testing, PAT testing, franking machine.
Provision of uniform and essential items to traincrew
Oversee any external contractors onsite
Have sound administrative skills and ability to use Microsoft programmes
Excellent organisational skills: the ability to prioritise a number of concurrent tasks to meet deadlines, managing requests from multiple sources and responding positively and flexibly to a wide variety of different tasks
Ability to deal with enquiries over the phone, face to face or in writing
Experience of an effective approach to problem solving
Experience of working collaboratively and constructively with staff across all areas and levels of an organisation to achieve required business objectives
Significant experience of working unsupervised and on own initiative
Assimilating information (including numerical data) quickly, extracting the relevant points, structuring the information logically and disseminating the key points to others as required
Ability to undertake research and gather information using a variety of appropriate tools, techniques and resources
